Agree on the essentials first
Before publishing an event, agree on the title, date, time zone, venue and intended audience. Decide who owns updates to the event page and who answers buyer questions. One clear point of responsibility helps prevent conflicting information appearing in promotional messages.
Write down what each ticket includes. If there are multiple sessions or areas, explain the differences in plain language. Capacity should reflect what your venue and event team can actually accommodate, rather than a target sales number.
Build a page that answers buyer questions
Use an accurate cover image and a concise opening description. Explain the experience, the schedule, access requirements and what attendees need to bring. Put important limitations where buyers can find them before checkout.
Review the event terms, contact details and refund information. Avoid copying a policy from another event without checking it. The information shown to a buyer should match the arrangements your team intends to deliver.
Check ticket setup and the booking journey
Review ticket names, quantities, prices and sale windows. Open the public page on a phone and follow the path toward checkout. Check the selected event, ticket quantities and final total. Use an approved test process to verify payment and ticket delivery; do not treat an unconfirmed test order as evidence that everything works.
Check confirmation instructions as carefully as the event page. A buyer should understand whether their order is confirmed, where to retrieve a ticket and how to get help. Test links from the places where you plan to share them.
Brief the team before launch
Assign responsibilities for event changes, buyer support, sales and admission. Give team members only the access needed for their work. Confirm who can make a decision when an entry problem cannot be resolved at the scanning desk.
- Review the public page on desktop and phone.
- Verify ticket options and sale dates.
- Agree on the support contact and escalation process.
- Rehearse the entry process before event day.
- Share the final public link only after the checks are complete.
