What your QR ticket is for
A QR ticket gives the admission team a code they can check against the event’s ticket records. The code is useful because staff can scan it instead of typing a long reference. Entry still depends on the ticket status and the rules for that event.
Keep the full ticket available, not just a tightly cropped image of the code. The event name, ticket type and booking reference can help the support desk understand a problem if scanning does not go as expected.
Get your phone ready before you reach the desk
Open the ticket while you still have time to find it. Increase screen brightness enough for the code to be clear, and avoid covering it with notifications or other windows. A badly cropped, blurred or damaged code may take longer to read.
Charge your phone before leaving and check the organizer’s backup instructions. If printed tickets are accepted, keep the code large and clear. Do not assume that a screenshot will be accepted for every event: follow the instructions attached to your booking.
Keep ticket codes private
Do not publish a ticket QR code in a public post, group chat or resale listing. Sharing a code can create confusion about who is presenting the ticket. If you need to change the attendee, use the transfer process available for that event rather than simply forwarding the code.
Keep your booking reference separate from any promotional image you share. If you suspect your ticket has been exposed, contact the organizer or the support channel listed with your booking.
When a scan needs help
If staff see an invalid or already-used result, move to the designated support desk so the main queue can continue. Show the event name, booking reference and original ticket. Staff may need to check the purchase status or whether another person has already presented the code.
Organizers should rehearse these exceptions before doors open. Set up a clear escalation contact, keep devices charged and verify the event selected on each scanner. Where an offline workflow is available, test synchronization and duplicate handling before relying on it.
- Have the correct event ticket open.
- Keep the QR code clear and unobstructed.
- Follow the organizer’s arrival and backup instructions.
- Use the support desk for unresolved scan problems.
